Louisa Baptist Church is seeking an Administrative Assistant. The Assistant must have effective communication skills, efficient office manager skills, and competent in using office equipment and computer programs with ease. The position independently manages a variety of tasks and duties in support of the pastor, other staff, and functions in the office including the interaction and tasks needed for church members. This is a 30-hour per week position. Salary based on qualifications. Administrative Assistant Responsibilities Include: 
  • Handle phone calls and greet visitors.
  • Maintain confidentiality in handling sensitive information.
  • Check and sort mail, process bills to be paid.
  • Handle emails daily, sending out information as needed.
  • Keep updated master prayer lists and weekly bulletin inserts.
  • Prepare, print, fold and compile weekly bulletin.
  • Handle day-to-day tasks of staff and church leaders.
  • Maintain church and staff calendar.
  • Prepare and mail letters/postcards for church related information.
  • Record Sermons and Business Meetings onto CD. Burn copies of recorded sermons for Homebound Ministry.
  • Maintain the church membership program, ACS (Automated Church Systems). Add, delete, and make changes as needed. Update and back up program often. Enter Group lists and generates reports from data entered.
  • Handle and pass on visitors’ cards to appropriate people.
  • Keep exterior sign up-to-date.
  • Create an address/phone directory one or two times per year.
  • Relay via email information about illnesses, deaths, and funeral arrangements.
  • Keep pew racks filled and organized.
  • Coordinate newsletters.
  • Maintain file system periodically discarding or archiving outdating items.
  • Order publications needed by teachers and groups.
  • Handle Local Missions requests and coordinate with appropriate individuals and/or groups.
  • Coordinate the repair/maintenance of office equipment.
  • Order office supplies as needed.
  • Coordinate with staff on the use of facilities.
  • Maintain an inventory of church keys.
  • Open exterior doors for meetings and lock up when last to leave church.
  • The Senior Pastor may assign other responsibilities.
